Milestone and Requirment Approvals in Prograds

How the approval process works for milestones and requirements

Background

 

Milestones and Requirements can be set to have one or multiple approvers. The program sets up milestones and requirements so that they are approved by any combination of:

  • Administrator (multiple administrators in a department can approve any item that needs admin approval)
  • Supervisor (Advisor)
  • Committee

There is also an option to have the approvals hidden from the student, though the final approval is always visible to the student as approved.

When a milestone or requirement requires administrative approval, this happens last, after any faculty members have done their approvals (as supervisor or committee member).

 

How it works

 
  1. The student completes the milestone or requirement
  1. The appropriate approvers are added automatically to an approvers list and these people are sent emails notifying them.
  1. Faculty members see on their Faculty dashboard the name of the milestone or requirement and “I Approve” button. Approvals can also be done by accessing the student’s progress page and clicking on that milestone or requirement to see the description of the milestone or requirement, attached files, and notes. An “I Approve” button appears on the milestone and requirement popups.
  1. When all faculty members have approved the item, the administrators get a notification and they can make the final approval, setting the status of the milestone or requirement to Approved.
 

Log of Approvals and Changes

 

Administrators and Supervisors have access to the history of changes and approvals on the milestone or requirement. This is found on the milestone or requirement popup from a little clock-arrow icon beside the approval area.
