Tables and Reports

Export student and faculty lists with information. Generate a pdf of student progress by Program. Filter, Search, Edit and Export Milestones, Requirements, and Funding in tables like your old spreadsheet.

Prograds has three kinds of reporting:

  1. Filtering of milestones and requirements in a spreadsheet-like view with the option to export the displayed items.
  1. Quick export of a csv file of the Students list and, separately, of the Faculty list.
  1. Generating a pdf of all the students in a given program, showing all their academic progress.

1. Milestone, Requirements, and Funding Tables

Prograds has spreadsheet-like tables for Student Milestones, Student Requirements, Funding/Employment, and Prograds Usage. You find these from the Data Tables icon in the header.

 

And a report showing all students in a given program with their progress on milestones and requirements and (optionally) their funding, with one student one after another on one page you can turn into a pdf.

You get to these tables from the tables icon in the header bar.

Note that Milestones and Requirements are in separate tables and at this point cannot be combined. You can export from both and then combine them in a spreadsheet program.

These tables are most powerful for seeing the following:

  • Items needing your approval
    • Use the toggle just under the “Approved” heading to show only those not approved, but do so in combination with the toggle at the top of the Complete column to show only those that are complete.
  • Milestones and Requirements that have have been overdue the longest
    • Toggle the box at the top of the Complete column to see only the not complete items and then click the carat beside “Deadline Date” to sort with the least recent at the top.
  • One student’s milestones and requirements so that you can approve a bunch of them quickly

Sorting, Search, and Filtering

Columns can be sorted with the little arrow beside the column name.

You can search and filter using the Filter bar at the top.

Use the “like” operator to filter on approximate dates or partial words and names.

Use the < and > operators with dates to find overdue or coming due milestones and requirements.

For the Complete, Approved, and Exempt columns you can filter with the little boxed minus signs under the column name.

When you type in the filter search box the table updates instantaneously. Unfortunately, this slows down the response of the interface. We’re working to make this smoother.

Editing

Some of the columns are editable. Click to the column and change the value. The Milestone or Requirement is nearly-instantly changed and it will be reflected on the student’s progress page. Use with care: there is no undo; but, of course, you can always change it back instantly.

Download / Export

The buttons at top right can be used to export the table in various formats. If you have filtered the table, the export will include only that data.

You can use the Excel/CSV export to achieve custom reporting and queries. We’ll be adding more of this natively within Prograds in the coming months.

 

Example: Overdue Milestones within a Program

To find overdue milestones within a program,

  1. From the Milestones table, first go to the Filter by Program over on the right, where you can select one or multiple Programs.
  1. Then use the Filter By at the top left of the table and select Due date, choose the < operator, and typ in todays date with the exact format YYYY-MM-DD (e.g. 2024-08-31). The filtering should happen right away — a couple of seconds if you have a lot of milestones and requirements.
  1. Then click the little square at the top of the Complete column to toggle it so it is empty (incomplete).
  1. Once those entries are showing, you can download as a pdf or Excel file from the top right. Before you do, though, you should go to the bottom of the table and change the Page Size to “ALL”. Prograds will only export the

You can then edit the complete, approved, or exempt status right here in the table, which should be more efficient than clicking into each student’s page and then clicking into each milestone. Just make sure you click to change from incomplete to complete, pausing a second to make sure it ‘sticks’. Don’t click it again if it doesn’t respond immediately. It should be under one second for the change to be registered in the database.

Remember, you need to do this separate for milestones and requirements, using the separate milestones and requirements tables available from the tables icon in the header bar.

2. Export csv from People Dashboard (Students, Faculty)

We have pre-defined exports from the Students listing and the Faculty listing. You get there from the People Dashboard.

For Students, you can filter the listing (or not) and then export a csv of standard information about the students. You get there from the ‘hamburger menu’ at top right (link).

For Faculty, there’s a Download csv button at the top right of the list. It simply shows the number of supervisions and committee memberships, with a list of those students and their year in the program. It also shows the faculty member’s last login to Prograds date.

3. All Student Progress Reports within a Program

From the Data Tables icon, you can also go to All Students Report (pdf) where you can generate one pdf file with all the students in a program, showing their academic progress: Milestones and Requirements and their completion status and dates, and optionally their funding as well.

This is just like stringing together all of the Student Progress pages of the students in that Program.
