Transition from one Program to another
Change a student’s program
You can move a student from one program to another, for example from a Master’s degree to a PhD.
Prograds creates a frozen, archived version of the student’s record that works like a separate student record. The original student record carries on, but gets its milestones and requirements cleared replaced with the ones from the new program. Existing Events, Working Ons, Funding, Employment, and Courses are all kept on the student record. The student can continue to log in as they did, but will now see the new program and its milestones and requirements.
How to change a student’s Program
On the student’s Profile page, go to the Program dropdown and choose the new program. The change will not happen immediately. You’ll get a popup that asks you to confirm the change, input the new program entry date, and whether or not to keep or clear the student’s funding items.
What happens when you change the Program
Prograds creates a duplicate record of this student to freeze and archive all their information as of that point in time. The existing record becomes the student record in their new program. You and the student will be able to access thearchived record from the student’s Profile page. You'll also see both the archived record and the current one if you search for that student on the main student list.
First, we change the program. Then we delete and repopulate the Milestones and Requirements. We clear out the Stage transitions, Major field, Supervisor, and Committee. We keep the existing Funding, Employment, Working Ons, and Events in the current record so those are visible on the archived record and the active record. YOn the confirmation popup, you can choose to remove the funding and employment items.
Note: If appropriate, you can set the archived student record to graduated and set the graduation date. You can do this before or after you change the program.
